Program Administrator

The Program Administrator will be responsible for responding to phone calls and emails to book school and group programs. This position requires the applicant to learn all YSI program curriculum so they may assist teachers, parents, and provide other contacts with accurate information. Occasional teaching of programs may be needed from time to time. Applicant must be proficient in Microsoft programs, Google Docs, and create formulas including how to roll-up data from multiple sheets in Excel. This position will support YSI’s mission to inspire enthusiasm for science and a love of learning. Assignments may include, but are not limited to, YSI programs and events including School and Group Programs, and offsite community events. Applicant will also interact with Nature Center visitors during open business hours.

Schedule:
This full-time position will generally be scheduled to work Monday – Friday from 8:00am- 4:30pm. May require some weekend shifts based on the needs of the organization.

Responsibilities Include:

• Obtaining accurate information for registering school and group programs.
• Excellent organizational skills.
• Abiding by YSI’s policies and protocols.
• Excellent communication of YSI policies, protocols, and expectations to schools, groups, and other YSI constituents
• Professional demeanor when answering phone calls and emails.
• Exhibit maturity, diplomacy and common sense in working with teachers, parents, children, staff, and other YSI constituents.
• Maintain indoor and outdoor facilities including cleaning, sweeping, vacuuming, and dusting on a frequent basis.
• Positive and enthusiastic customer service with school personnel and other visitors.
• Performs other duties as assigned by the Program Manager or Executive Director.
• Data entry for teacher evaluations.
• Tracking key data for grants accurately.
• Preparation and management of invoices and collection of fees.
• Administrative duties for all programs which include but are not limited to completing registration forms, answering phones and emails, processing payments, and organizing YSI’s virtual calendar.

Education and Experience:

Years of Experience:
3 or more years of experience in an administrative environment or related field preferred.

Education:
Degree in business administration, public administration, science, education environmental studies, or similar preferred or equivalent experience

Certification:
Must have and maintain current certification by a nationally recognized provider of training for adult and child First Aid, CPR, and AED acquired by the end of first 30 days of employment at YSI

Knowledge, Skills, and Abilities:
• Excellent verbal and written communication skills including excellent customer service skills.
• Computer literate in Microsoft programs such as Word, Excel, and PowerPoint programs.
• Acute attention to detail and accuracy.
• Able to work independently and in a team environment, juggle multiple tasks, and respond to changing priorities.
• Able to interface daily with teachers, parents, children, the public, and YSI staff in a positive, professional manner.
• Excellent people skills and personable, helpful, friendly attitude with ability to listen and respond to questions.
• Able to work with, and respond to, the public under pressure.
• Ability to understand and follow written and verbal instructions.
• Ability to adapt and be flexible as priorities shift, and willing to take on a variety of tasks.
• Passionate and enthusiastic about science standards, nature, working with children, and YSI’s mission and values.

Requirements:
• Applicant must undergo criminal background checks, including fingerprints, through the database of California Department of Justice, and the national FBI criminal database.
• Provide results of a negative TB skin test reading less than 4 years old.
• Possess a valid driver’s license, auto insurance, and have access to a car.
• Must be able to submit hours worked on an electronic time card daily.
• Enforce all YSI COVID protocols.
• Proof of COVID-19 vaccination (must be fully vaccinated with booster).

Physical Requirements:
• Stand for up to 6 hours.
• Move and lift items up to 30 pounds.
• See 12-point font and distances of 300 feet.
• Walk and hike for up to 1.5 hours and up to 1 mile.
• Run and/or jog on flat and hilly surfaces and navigate a 30-degree slope. Surfaces include but are not limited to grass, gravel, wet and dry surfaces, uneven and/or rocky soil.
• Hear children and adult voices.
• Communicate clearly and be understood by groups of children and adults for periods of up to 6 hours.
• Kneel and stand occasionally.
• Work in varying conditions (indoor and outdoor).

Pay rate: $24-$30 per hour depending on experience

This position specification is not an employment contract. YSI is an at-will employer.
