Program Manager: Camps and Outreach

Department: Program

Summary: This position manages all operational aspects of YSI Summer Science Camps, Volunteer Program and Community Outreach under the direction of the Program Director. As needed, this position will be an instructor for YSI’s programs.

Schedule: This position is generally scheduled to work Monday through Friday from 8:00am-4:30pm with occasional work on weekends, evenings, and holidays.

Duties and Responsibilities:
• In partnership with the Program Director, plans the summer camp schedule.
• Organizes and enters required data into an online summer camp registration platform.
• Handles all online summer camp registration issues/glitches, including responding to parent questions and requests for camp receipts.
• Ensures all waivers are posted on the registration site and that all parents accept the waivers before their child is allowed to enroll in YSI summer camp.
• In partnership with the Program Director, implements a comprehensive marketing/advertising plan for summer camp and implements plan in a timely manner to ensure maximum camper enrollment.
• If scholarship funds are available, works closely with the Program Director to develop a plan for advertising to the public.
• Responsible for achieving summer camp budget goals (income and expense).
• Tracks summer camp scholarship funds and awards scholarships on a first-come, first- served financial need basis. Ensures scholarship fund remains in the black.
• In partnership with the Program Director, develops camp curriculum and activities (including activities for EMC & EDC).
• In partnership with the Program Director, hires, trains, and supervises all summer camp staff, including volunteers.
• Serves as the point person for any problems or emergencies that arise with volunteers, instructors, or campers.
• In consultation with the Program Director, determines and purchases supplies for summer camp ensuring summer camp supply budget is not exceeded.
• Maintains year-to- year comparison data on number of campers in each age group, Pre-K- K, 1 st -5 th grade.
• Generates camp rosters before the start of each camp session.
• Manages signage and the flow of parking lot traffic during camper drop-off and pick-up.

Volunteer Program:
• Processes volunteer applications and maintains volunteer database.
• Finds new avenues to recruit volunteers.
• Trains and supervises volunteers for YSI special events, community events, and summer science camps.
• Responsible for volunteer appreciation in a timely fashion.

Community Outreach:
• Responsible for the overall planning and implementing of the annual Wildlife Festival.
• Coordinates participation at community events designed to promote the organization and its services.
• Ensures all YSI marketing material is up to date and ready for promotional events.
• Develops relationships with corporations, schools/school districts, and serves as YSI’s liaison.
• Coordinates and attends summer camp fairs on corporate campuses, at malls, and at other venues.

Education and Experience:
Year of Experience: 3 to 5 years of administrative experience, 2 years teaching in an informal program environment.

Education: Bachelor’s degree in related field preferred.

Knowledge, Skills, & Abilities:
• Knowledge of Next Generation Science Standards (NGSS).
• Excellent verbal and written communication skills.
• Computer literate in Word, Excel, and PowerPoint programs.
• Acute attention to detail.
• A sincere interest in youth, education, science, nature, and animals.
• Ability to influence staff and interact with co-workers and the public in a positive, professional manner.

Physical Requirements:
• Stand for extended durations up to 6 hours.
• Move items up to 30 pounds.
• See 12-point font and see people up to distances of 300 feet.
• Walk for up to 1.5 hours and up to 1 mile.
• Run and/or jog on flat and hilly surfaces and navigate a 30-degree slope. Surfaces include but are not limited to grass, gravel, wet and dry surfaces, uneven and/or rocky soil.
• Communicate clearly and be understood by groups of children and adults for periods of up to 6 hours.
• Kneel and sit occasionally.

Program Director

Summary: This position manages all operational aspects of School & Group Programs, Summer Science Camp, Volunteer Program, Community Outreach and Science Safaris.

Schedule: This position is generally scheduled to work Monday through Friday with occasional work on weekends, evenings, and holidays.

Duties and Responsibilities:
• Develop and execute a strategic education plan to support YSI’s mission to inspire enthusiasm for science and a love of learning.
• Assess existing program curriculum and modify as necessary. If appropriate, integrate technology into existing or new YSI programs.
• Develop new curriculum as necessary.
• Plan and direct programs to support an informal education community (pre-school groups through high school) by developing experiential, inquiry-and standards-based science curriculum while ensuring engaging content and delivery.
• Oversee all YSI programs such as Wildlife Festival, School and Group Programs, Summer Science Camps, Volunteer Program, Community Outreach, and Science Safaris.
• Engage and manage a dynamic, flexible workforce, and ensure the proper education staff is in place to run all weekday-and weekend-programs.
• Ensure all program budget goals are met (income and expense).
• Assist with marketing and advertising for all YSI educational programs.
• Collaborate with internal staff and third parties to develop and implement an analytical framework with metrics and processes for evaluation the impact of YSI’s educational programming. Analyze results and make appropriate program changes to improve.
• Oversee the hiring and management of seasonal staff for summer programs.
• Hire, train, and manage all education staff such as instructors and administrators.
• Oversee recruiting, screening and training of volunteers used for educational programs and events, including third-party events.
• Assist the Executive Director in gathering program statistics necessary for grants and grant reports, including County reports. At the request of the Executive Director, may assist in writing of County reports.
• Attend partnership meetings, County Park meetings, Park Commission meetings, City of San Jose meetings, and other meetings, if necessary.
• Interface with school district administrators, schoolteachers, and funders, as necessary.
• Ensure Minimum Program Services are met as required by lease agreements and funding agreements with the County of Santa Clara and the City of San Jose.

Education and Experience:
Year of Experience: Minimum of 10-12 years overall experience and minimum of 5 years experience managing staff of 20+, including hiring, reviewing performance, training, and terminating.

Education:
Bachelor’s degree in education, environmental studies, science, engineering, or related field preferred.

Summer Science Camp (SSC) Floater.

The SSC Floater will be an integral part of the SSC team and a key person to ensure YSI SSC runs smoothly. The SSC Floater will fill in as needed for absent SSC Lead Instructors or SSC Assistant Instructors.  If required to fill in as a Lead or Assistant Instructor, the SSC Floater will use YSI camp curriculum to guide exploration, experimentation, and scientific thinking in pre-K to entering 6th-grade children. Other duties may include joining a camp for additional camper support, providing breaks for SSC team, assisting in closing ceremonies, supporting set up and clean up, and other duties as needed. Weekly camp sessions run from June through August . We do not require SSC Floater availability for the entire camp season and can work with Floater availability on a case-by-case basis. There are additional paid orientation meetings and training sessions required for all camp staff.

Summer Science Camp (SSC) Assistant Instructor.

SSC Assistant Instructors will work with the Lead Instructors to encourage exploration, experimentation, and scientific thinking in even the youngest campers. Assistant Instructors help to make YSI’s Summer Science Camps full of learning, imagination, and fun. They will assist the instructor in preparation and execution of activities including crafts, hikes, experiments, and games. They will also assist in communication with parents and volunteers.

Instructor.

Youth Science Institute (YSI) is looking for passionate, dedicated people to join our team of Instructors. At YSI, our instructors work with students leading hands-on activities that are designed to engage students and help students develop critical-thinking skills. As part of the YSI education team, you will gain practical experience working with children and be part of a team that serves nearly 30,000 students per year in Santa Clara County. This part-time, flexible position is ideal for students working towards a degree in education, child development, or a science-related field.

Responsibilities:
• Assist in the implementation of educational programs at sites throughout Santa Clara County including our 3 Science & Nature Centers (Alum Rock Park, Vasona Lake County Park, Sanborn County Park), school sites, community events, festivals, etc.
• Teach science and place-based lessons to children and adults in an outdoor, field-trip setting
• Set-up before and clean-up following education programs
• Assist with materials preparation for events and education programs
• Maintenance of exhibits
• Maintaining indoor and outdoor facilities
• Handling of live animals (training provided)

Human Resources Payroll Administrator.

Youth Science Institute (YSI) is looking for a passionate, dedicated HR professional to join our staff as the main point of contact for Human Resources and Payroll. As part of the YSI team, you will gain practical experience working with and supporting our staff. You will be part of a team that serves nearly 30,000 students per year in Santa Clara County.

This is a part-time position reporting directly to the Executive Director and is scheduled to work at least 5 hours per day for 3 days per week, for an average of 15 hours per week. The schedule has some flexibility, and at busier times of the year you will be expected to work up to 20 hours per week. YSI may require the HR Payroll Administrator to work on weekends and/or evenings from time to time.

Responsibilities:
Recruitment & On-Boarding/Off Boarding:
• Support the recruitment of new employees: develop and post job ads, source and screen applicants, create offer letters.
• On-Boarding: process new-hire paperwork and ensure fingerprinting, background checks, and TB testing (if required) are done in a timely manner.
• Process paperwork for new volunteers.
• Off-Boarding: process termination paperwork and final checks, terminate benefits, submit DOJ No Longer Interested (NLI) forms and remove employees from DMV Employer Pull Notice (EPN) Program in a timely manner.
• Point of contact for unemployment insurance carrier and unemployment claims.

Benefits Administration:
• Manage annual insurance renewals (e.g., directors and officers, package, umbrella, volunteers accident, workers’ compensation).
• Manage annual employee benefits renewals (medical, dental, vision); coordinate annual employee benefits open enrollment.
• Point of contact for employee 403b plan.
• Process ongoing HR- and benefits-related forms for claims, disability, workers’ comp, etc.
• Complete workers’ compensation injury reports and modified work plans, as required; point of contact for yearly workers’-compensation audit.

Payroll Administration:
• Input semi-monthly time sheets into payroll system.
• Input employee expense reports for mileage and expense reimbursement and process.
• Prepare and send payroll reports to accounting firm & unemployment insurance carrier.
• Process all checks including final checks for terminating employees.
• Sync timecard data with QuickBooks after payroll is complete.

HR Compliance:
• Ensure compliance with current California and Federal Labor Laws.
• Ensure posting of current California and Federal Labor Law posters at each YSI site.
• Update YSI Employee Handbook, as necessary.
• Prepare and fax monthly labor statistics report to the Bureau of Labor Statistics.
• Maintain annual proof-of- automobile-insurance records, DMV pull notices, TB testing (if required) for all employees.
• Lead Safety Committee: maintain accident reporting, coordinate and document all Safety Committee meetings.

General Administration:
• Will act as point of contact for outsourced accounting and human resources service providers.
• Assumes responsibilities for special projects relating to department functions, as assigned.
• Orders office supplies, employee business cards, etc.
• Input data for school-program invoicing, as required.
• Other duties as assigned.

Education & Experience:
• 2-4 years’ experience working in HR and Payroll.
• High School diploma or GED required.

Required Skills:
• Ability to always use tact, diplomacy, discretion, and judgment to ensure confidentiality.
• Experience with QuickBooks Desktop, Intuit Full Service Payroll, and Minute7 is highly desirable.
• Skilled in Microsoft Word & Excel.
• Exceptional verbal and written communication skills are a must.
• Willingness to learn and take direction with the ability to work independently while juggling multiple tasks and responding to changing priorities.
• Ability to create and follow detailed procedures.
• Confidence to complete work as scheduled and devise methods for self-audit.
• Ability to identify and utilize resources to answer questions.

Physical Demands:
